Council/Volunteer Meeting
AUGUST 6, 2008
In Attendance: Council members Jane Ackerman, Izzy Fromm, Ralph Woodbridge, Steve Kargman, Barbara Despenza, and Kathy Miller; Volunteer Chuck Murphy; and Senior Center Liaison Tracey Sosna.
Izzy called the meeting to order at 3:40 p.m.
Izzy reported there’ll be a corporate conference call in several weeks, if you have any ideas for presentation let Izzy know. At this point the council did not.
SeniorNet will provide Vista Ultimate & Microsoft Office 2007. Ralph said we should obtain both from them. Jane commented this is a real positive for SN to achieve. Ralph added SN provided materials to us in the past but til now it appears to be in reverse. Izzy said he offered to provide SN with copies of our Intro 1 & 2 manuals. Jane & Barbara said the Photo Shop manuals are finished.
It was verified that the Student File CDs used in the fall will operate on XP and Vista machines.
Izzy brought Tracey up to speed re the SeniorNet Advisory Council he is part of.
Also, some LC’s have open houses.
Kathy stated the financials are not available. The minutes for last month were approved. Jane asked if the summer fees have been added to our account. Izzy asked Tracy if we can receive the city’s records of our balance and transactions from the past month.
Sara is still having challenges and Horst Becker’s name was brought up re an invite to a council meeting.
Barbara reviewed past and future marketing strategies. The library will let us post Photo Shop course information there. Jane will be doing the poster & brochure printing. Izzy suggested the poster should be up on registration day 8/13. The center will provide an easel. Ralph & Barbara said to forget doing theater ads. Kathy said Scottsdale Ranch has a local paper which had the activities at the senior center listed but not about our computer courses. Barbara will give Tracey a blurb for input into the local paper. Handouts re fill rate by class over the past 3 years were presented. They were 70.9% full. Also fill rate by month was shown.
Barbara would like to explore email listings for students. We can have students enter this information on a back room computer with aid of a coach if necessary. Steve agreed to set up a system for getting student email addresses so that we can use them for mailings.
Jane will conduct a Vista training presentation Wed., 9/17 at 3:30 pm. It will be held in the large conference room. Sign up is required and an email will be sent to all the coaches and volunteers. Steve will send out the email. The city will provide the projector, screen, and seating and handle the registration. We will have to supply Tracey with a list of the volunteers’ & instructors’ names. They will be asked to call the center to register and we thought to ask them to bring a copy of the email invitation with them when they come if they would like to enter the raffle.
Ralph has a slide presentation of the VLSCLC that covers who we are and what we do. He handed out a comprehensive lab layout. 8 XP units are being given to the senior center to replace the GOL units. 4 are already installed. Units 9-12, 18 and 20 have cleaned hd’s. They are available for us to raffle off. The remaining units will be distributed per the board’s instructions. We’re holding unit 21 for safety sake. The units for raffle will be available to volunteer instructors and coaches. Don can help Jane set up the tech end of the presentation. Steve’s email to coaches & instructors will provide information re the raffle. Winners of the XP units will be given the OS software. Scanners and printers will also be raffled off. The raffle winners will be announced Sept. 26th at 2pm. Volunteers must be present to win. That week the lab will be open to coaches & instructors who will be invited to familiarize themselves with the Vista machines. Tomorrow the internal network will be up and running thanks to Chris. Without passwords for Deep Freeze the network failed to operate. Instructors will need to input their class information onto the lab’s computers.
Tracey will be the center’s liaison with the council. Keep in mind she is here late and her day can start anytime from 11am to 2pm. Tracey is not in early. Slides can be shown on the lobby’s monitor in a power point mode. For small item purchases please have either Melissa or Tracey involved. They can use their procurement card & can accompany us to a retailer. KC has ordered 8 LCD monitors and new furniture for the GOL computers. Fall classes are listed on the internet. Please check the class listings for accuracy. For winter activities Tracey would appreciate our support for a 12 week program which Jane commented would work well with our 4 week courses. Tracey has name/address labels available for our summer session students and can create them for previous classes.
